Position Overview
Clinton Community Schools is seeking a professional Executive Administrative Assistant to the Superintendent to ensure the smooth operation of the Superintendent’s Office and support district initiatives. The position requires advanced organizational, technical, and communication skills to manage high-level administrative tasks, board of education operations, district communications, and community engagement.
Clinton Community Schools is a comprehensive local public school district offering pre-K - 12th grade educational programs to approximately 1,250 students. Located in northern Lenawee County, the district is approximately 30 minutes south of Ann Arbor, Michigan and 45 minutes north of Toledo, Ohio. The District maintains a strong fund-balance and a stable Board of Education. The current Superintendent has been in the position for three years.
Key Responsibilities
- Board of Education Operations
- Prepare board meeting agendas, minutes, and supporting materials.
- Ensure compliance with Michigan’s Open Meetings Act and maintain accurate records of board activities.
- Coordinate regular, special, and ad hoc board meetings, including postings and communications.
- Support the Policy Committee of the School Board in continually reviewing and updating school district policies and posting current policy on the District website.
- Prepare and publish School Board agendas and supporting materials for all School Board meetings on the District website.
- Develop and disseminate the School Board electronic meeting packet via google docs.
- Prepare legal notices for all regular and special meetings of the School Board.
- Attend all meetings of the School Board and take meeting minutes.
- Coordinate presentations at School Board meetings.
- Act as a liaison to School Board members and provide information and assistance to School Board members in fulfilling their duties.
- Assist the Secretary of the Board in conducting school board elections and filling vacancies due to resignation.
- Preserve the confidentiality of all information related to Board business.
- Assist in maintaining the Board Policy Manual through Thrun Law Firm.
- Register the Board and Superintendent for conferences and workshops.
- Superintendent and Office Support
- Serve as the primary administrative assistant to the Superintendent, managing scheduling, correspondence, and confidential matters.
- Maintain the Superintendent’s calendar and office organization.
- Process requisitions, purchase orders, invoices, and expense reports.
- Oversee the Superintendent’s Office budget and ensure accurate tracking.
- Assist the Superintendent in tracking the implementation of key initiatives using spreadsheets and project management software.
- Answer and respond to telephone calls from administrators, staff, parents, and community members.
- Receive, sort, and distribute incoming correspondence, prioritizing key deadlines.
- Type, email, edit, and distribute the Superintendent’s correspondence and communications.
- Organize and maintain an accurate filing system, including confidential files.
- Ensure confidentiality of all information related to the Superintendent’s office and district staff, students, and families.
- Work in partnership with other departments to complete tasks essential for district operations.
- Support the preparation of compliance documents and the completion of compliance visits.
- Maintain district supplies and process purchase order requests.
- Perform other duties as assigned by the Superintendent.
- Event and Meeting Coordination
- Schedule and coordinate district-level meetings, including room setup, technology needs, and participant communication.
- Manage event RSVPs and logistics,
- Prepare presentations and materials for district and community meetings.
- Support the participation of the Superintendent and members of the School Board in public events, both inside and outside of Clinton Community Schools.
- District-Wide Communication
- Draft and distribute district publications, newsletters, and news releases.
- Update website content and manage the district’s mass communication system (Infinite Campus) for alerts and announcements.
- Assist with creating and disseminating correspondence for district-wide initiatives.
- Read, refer, and respond to correspondence directed to the Superintendent and the School Board.
- Prepare, coordinate, and publish the Superintendent's Newsletter issued by the Superintendent’s office.
- Human Resources/Payroll Support
- Ensure all personnel files are complete with required documents.
- Assist with the preparation of certified employee contracts.
- Assist the Director of Finance with Human Resources functions.
- Technology and Records Management
- Maintain district records and update the master calendar.
- Utilize advanced Excel, Google Sheets, and other tools for data reporting and analysis.
- Support district compliance with FERPA regulations for record confidentiality.
- Periodically enter and verify information in information systems operated by the Michigan Department of Education on behalf of the Superintendent.
- Community and Association Support
- Act as a liaison with local community partners and media on behalf of the Superintendent.
- Coordinate scholarship programs (LCEF) and provide FAFSA assistance.
- Attend and take notes at select high-priority meetings attended by the Superintendent.
- Other Duties as Assigned
- Perform any additional tasks that may be assigned by the Superintendent
Key Qualifications:
- Education
- High school diploma required; additional training or certifications in administrative fields preferred.
- Experience
- Minimum of 5 years of progressively responsible experience as an executive or administrative assistant, with a strong preference for experience in education, public sector, or similar professional environments.
- Proven track record of managing high-level tasks such as board operations, maintaining compliance with state and district regulations, and coordinating large-scale events or initiatives.
- Skills
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Advanced proficiency in Google Workspace (Docs, Sheets, Slides, Drive).
- Strong organizational, multitasking, and time-management skills.
- Excellent verbal and written communication skills, with the ability to maintain confidentiality and professionalism.
- Knowledge of ADA-compliant document creation and accessibility tools (preferred but not required).
- Familiarity with Adobe Acrobat Pro for document creation and editing (preferred but not required).
- Additional Testing Requirements
- Typing Speed: Minimum 60-70 words per minute (WPM) required for written correspondence and data management tasks.
- Technical Proficiency: Successful candidates will complete a skills assessment that includes typing, technical proficiency with Microsoft Office, Google Workspace, and spreadsheet management.
- Preferred Qualifications
- Knowledge of Michigan’s Open Meetings Act, pupil accounting rules, and CDRC reporting.
- Familiarity with scholarship administration and FAFSA application processes.
- Notary Public certification (or ability to obtain within 6 months of hire).
- Experience with project management software and district compliance reporting systems.

Training Opportunities
Candidates without prior experience in the following areas will be required to complete district-provided training:
- Michigan Open Meetings Act compliance.
- Advanced use of Infinite Campus and pupil accounting processes.
- FERPA regulations and data confidentiality.
- Scholarship program administration and communication systems.
- Other programs as identified by the Superintendent

Compensation and Benefits
- Competitive salary range of $55,000 - $65,000 commensurate with experience and qualifications.

Required:
- Valid Michigan driver’s license.
- Notary Public certification (or ability to obtain within 6 months of hire).
Preferred:

- Michigan Notary Public (if not already certified, must obtain within 6 months of hire).
- Pupil Accounting Certification (optional but beneficial for understanding pupil accounting rules).
